ON-LINE RESERVATIONS AND CHARGES EXPLAINED
All requested information must be submitted when placing your booking on our website. When our company receives your on-line reservation, you will receive a booking acknowledgement by return via e-mail. Please ensure that all details are correct and valid including the correct e-mail address and a telephone number on which we can contact you. If we can supply your vehicle we will send an e-mail, which will be your final confirmation and the supplying location will be in touch 2-3 days before your vehicle is due, to take payment and arrange licence copies and ID etc. If the rental is for a business then we can accept the company card as payment.
DELIVERY AND COLLECTION SERVICE
We endeavour to deliver and collect your rental vehicle as requested. However, very occasionally this service may not be available depending on your location within the UK in this case, one of our reservation agents will contact you to let you know and offer an alternative which may include you collecting or returning to a branch. Please note that no charges will take place if you cannot accept our alternative.
DEPOSITS
In most situations, only a pre-authorisation on your debit or credit card will be required. We will need a copy of your driving licence, National Insurance number or share code and another form of ID plus your credit/debit card before the vehicle is supplied to you. Any vehicle requiring re-fuelling will be charged at £2.50 per litre +VAT – applicable to any vehicle returned with less fuel than that with which it was provided.
QUALIFICATION
All drivers must be between 23 and 70 years of age for all vehicles (some cars, vans, trucks, people carriers 25 and over) and must have held a full driving licence for 2 years. Vehicles may be supplied outside the above criteria at our insurance company’s discretion. In any event, all drivers must comply with the supplying location’s qualifications.
INSURANCE
All rental vehicles are supplied with comprehensive insurance but subject to an excess. We can only reduce the excess on certain vehicles. All vehicles are supplied subject to a £1000 insurance excess. People-carriers, minibuses, prestige cars and 4×4’s are all at £2000. The insurance excess charge becomes payable by the hirer in the event of any damage being incurred during the rental period. In the event of damage to the rental vehicle please notify us within 24 hrs. The excess will be charged to the credit or debit card that was given and accepted when making the reservation. Please note, that any overhead damage to any vehicle will be charged the full repairing cost and collision damage waiver does not apply. Each area of damage, where clearly not connected, will be taken as a separate incident and the excess will be applied for each repair.
COLLISION DAMAGE WAIVER REDUCTION INSURANCE
The hirer can purchase collision damage waiver reduction insurance on certain groups of vehicles at a cost as detailed in the booking reservation. When CDW reduction insurance is purchased, the liability of £1000 reduces to £500 on vans, £1000 reduces to £500 on cars. Mini-buses and people-carriers cannot be reduced. Please note that any goods in transit are not covered by insurance. Exclusions to the collision damage waiver are any overhead damage to any vehicle, tyre damage or punctures, glass damage, driving without due care and attention, negligence and dangerous driving in any vehicle. All costs incurred by us will be passed onto the customer and charged directly to the credit or debit card that was used when the booking was placed.
Imperial Vehicle Hire will not pay any costs relating to punctures occurring overseas or to any theft of any parts on our vehicles.
ADDITIONAL DRIVERS
We allow a max of 4 drivers to drive our rental vehicles. The charges for any additional drivers are £5-£10.00 per day for any of the vehicles we supply depending on the group of vehicle.
CANCELLATION POLICY
Should you need to cancel your reservation we must be informed within 72 hours of the start time and this will incur a £35.00 +VAT cancellation fee. If we receive your request to cancel with less than the 72 hours’ notice then no refund will be given.
CHARGES, MILEAGE & FINES
It is the hirer’s responsibility, to pay all congestion charges, DART (Dartford-Thurrock river crossing), toll charges, parking and speeding offence fines incurred by the driver during the rental period. If our company receives the notification of an unpaid fine, then we will automatically charge the maximum amount of the fine plus a £40 +VAT administration charge to the card used upon booking per offence. A fair usage policy applies of 2,000 miles per 28 days applies to all hires. Excess miles are charged at £0.35 pence per mile.
LOSS OF VEHICLE KEYS
In the event of the rental vehicle’s keys being mislaid, lost, or stolen, then our company will charge for the courier charges to deliver the spare keys plus the total cost to replace the missing keys and re-programming of central locking key fob if required.
YOUR REQUESTED RENTAL VEHICLE
Every effort is made to supply the model of the rental vehicle of your choice. However, there may be occasions that a substitute vehicle of the same size and specification may well be supplied in place of the requested vehicle. In addition, we cannot guarantee a specific colour of a vehicle.
EARLY RETURNS
Please note that we will not issue any refunds should you return the rental vehicle supplied before the pre-arranged termination time and date.
RENTAL VEHICLES SUPPLIED TRAVELLING TO EEC COUNTRIES
We allow our rental vehicles to be taken abroad to EEC members and European insurance cover is supplied. All vehicles are covered by AA or RAC roadside assistance and recovery service. Under no circumstances will we allow any of our rental vehicles to be taken abroad without our prior consent. All customers will be required to leave a deposit before the vehicle leaves. Check the DVLA web site for full details of licence requirements before booking.
Please note we do not supply maps, high visibility jackets, warning triangles, breathalyser kits, first aid kits or headlight converters for your journey and you must purchase these at your own cost. Some countries will require you to carry certain items to comply with their driving laws – it is your responsibility to fulfil these requirements.
COLLECTION OF DELIVERED VEHICLES
The customer is responsible for the hired vehicle for 48 working hours from the end of the hire period, which means any parking fines, clamping charges, and towing away to car park impound site fines will be charged to the customer. Please note that vehicles are not collected on Sundays in which case any hires finishing over the weekend, the 48 working hours start from 0800 on Monday morning. If a delivery driver informs you of a collection time, please be advised this cannot be 100% guaranteed, the period of liability still stands, and if it is essential to know an estimated collection time you should contact the branch directly. Fuel to and from the customer’s address is chargeable.
RESERVING A VEHICLE
When booking a vehicle online we reserve the right to change your vehicle pickup to the nearest available location if the branch you selected does not have availability. Should you reject the ‘change of branch’, we may be able to offer a delivery and collection service to your home or office at an additional cost. If this is not acceptable for you no charges will be levied.
COMPLAINT PROCEDURE
Our company is confident that the service we offer to our customers will be of the highest standard and that the rental vehicle supplied will be satisfactory. However, should you wish to lodge a complaint, then this must be submitted via e-mail within 28 days from the end of your rental. On receipt of your e-mailed complaint, we will investigate and respond within 14 working days. Please note, that any complaint received later than the 28 days, cannot be accepted.

Full Rental Agreement Terms
1 Your contract with us
When you sign the form on page 1 of this rental agreement, you accept the conditions set out in this rental agreement. Please read this agreement carefully. If there is anything you do not understand, ask a member of staff to explain it.
2 Rental period
You will have the vehicle for the period shown in the agreement. We may agree to extend this rental period. If you do not bring back the vehicle on time, you will be breaking the conditions of this agreement. We can charge you for every day or part of the day you have the vehicle after you should have returned it to us. We will charge you a daily or hourly rate (which will be shown at the place you have rented the vehicle from) until we get our vehicle back. If you break our agreement, we can ask you to bring back the vehicle before the date and time we have agreed with you. To do this we will give you written notice in person or send it to the address you have given on page 1. Once we have given you the notice in person, you will no longer have our permission to have the vehicle. If we send you a notice in the post, one day after we have posted it you will no longer have our permission to have the vehicle. We may then take back our vehicle. If we believe you have given us false information, we may take back the vehicle without giving you any notice. Our rental agreement will not excess 89 days of hire.

5 Property
We are only responsible for loss or damage to property in the vehicle if the loss or damage is a result of our neglect or if we have broken the conditions of our agreement. You are responsible for removing your personal belongings from the vehicle at the end of the rental period, as we are not responsible for any items you leave in the vehicle. If you do leave items in the vehicle, we may agree to keep them for you to collect within a reasonable time. We may charge you reasonable costs for storing the items.
6 Conditions for using the vehicle.
b1 for any illegal purposes or in a way which would cause nuisance.
b2 to carry passengers for a fee (except for minibuses which you have a valid operator’s licence for);
b3 for driving lessons.
b4 to tow or push any vehicle, trailer or other object, without our written permission.
b5 for racing, pace making, or to test the vehicle’s reliability or speed.
b6 off roads or on roads unsuitable for the vehicle.
b7 if the driver has been drinking alcohol or taking drugs.
b8 outside the United Kingdom, unless we have given you written permission and a Vehicle on Hire Certificate.
b9 if it is loaded beyond the manufacturer’s maximum weight recommendations.
b10 to carry unsecured loads.
b11 to carry more passengers than the vehicle was manufactured to legally carry; or
b12 if the driver does not have a valid operator’s licence (if it is a goods vehicle or a minibus).
7 Charges
We work out our charges using our current price list, which includes VAT (see page 1). You will be responsible for paying the following charges.

8 Our motor insurance and damage protection programme
You can get full details of our damage protection programme from the office at which you rented the vehicle. If we arrange separate motor insurance, we will give you information on the motor insurance cover and any restrictions which may apply. Otherwise, the conditions of our motor insurance and damage protection programme will apply. By putting your initials in the appropriate box on page 1, you are accepting the conditions of our motor insurance and damage protection programme.
9 Your own insurance
If we fill in the appropriate box on page 1, you may arrange your own motor insurance to cover your legal responsibility for any loss, or if the vehicle is stolen or damaged, for the full period you are renting the vehicle for. You must prove that this motor insurance is valid and sign the confirmation on page 1. We have the right to agree:
We must be satisfied with the insurance cover and policy conditions, and you must not change them. We may ask your insurers to record our name as owner of the vehicle. If the vehicle is damaged or stolen, we will negotiate any settlement for loss or damage with your insurers, and we will receive any money they pay out. This includes allowing us to take legal action in your name and defending any proceedings taken against you. You are responsible for paying the full claim and paying all costs if the policy you have arranged fails and the vehicle is damaged, lost or stolen, or someone else makes a claim.
10 What to do if you have an accident or the vehicle is stolen.
If you are involved in an accident, you must not admit that you are responsible. You should describe the situation as fully as possible when you are asked to do so by the police and us. You should get the names and addresses of everyone involved, including witnesses. You should also:

11 Data protection
By entering into this rental agreement, you agree that we can process and store your personal information in connection with this agreement. We will use your information to analyse statistics, for market research, credit control and to protect our assets. You agree that if you break the terms of this agreement, we can pass your personal information to credit reference agencies, debt collectors, the police or any other relevant organisation. We can also give this information to the British Vehicle Rental and Leasing Association (BVRLA), which can share your personal information with its members to prevent crime and protect its assets, as allowed under the Data Protection Act 1998.
12 Ending this agreement.
13 The law
We aim to deal with all disagreements fairly and calmly. If we cannot deal with a disagreement, we may take the matter to a conciliation service. This agreement is governed by the laws of the country in which you signed it. Any disagreement may be settled in the courts of that country. This agreement contains all the conditions which we have agreed and replaces any written or verbal agreements we have with you.
